The Job:

 
The Support team is responsible for ensuring our office space, events and employee initiatives represent Mind Gym’s core values and ingredients. The Guest Experience & Facilities Executive, together with the Internal Comms & Events Executive, will play a key part in developing and maintaining this vision.
 
Stationed front of house with the Internal Comms & Events Executive, you’ll make the first impression for all those in touch with our office. All guests will be greeted, seated and made to feel welcome, all telephone calls will be screened and fielded correctly, and all our employees will be met with a smile. You’ll be responsible for managing our overall guest experience, suggesting and implementing new systems where appropriate and ensuring we’re delivering the best experience for our guests.
 
You’ll ensure that the office is firing on all cylinders and functioning optimally. You’ll seamlessly manage the office maintenance, scheduling regular maintenance and taking a proactive approach to resolve any issues that arise and tracking this in the maintenance log as soon as any works take place.
 
Our contractor relationships are very important, and you’ll manage this with our cleaners, A/C engineers, maintenance teams and property managers, conducting bi-annual / annual reviews of their contracts and seeking competitor quotes to ensure we’re getting the very best service and price.
 
You’ll also be responsible for ensuring the office is a safe and secure environment to work in. You’ll manage the maintenance of the alarm system, security cameras and employee access to the building, recommending enhancements where you see fit. You’ll also be responsible for the full scope of adhering to fire safety regulations – we’ll expect you to know what testing needs to happen when, to stay on top of this throughout the year.
 
We love to make our employees feel at home, so you’ll manage all weekly food and stationary orders, working with the Internal Comms & Events Executive to ensure weekly stock lists are taken and our cupboards in good supply.
 
You’ll also be the keeper of all items coming in and out of the office – you’ll ensure all post received is logged and distributed to the relevant team and all outgoing mail is franked and posted and DHL shipments are collected.
 

About you:

 
You’ll need to be high energy, engaging and professional. We need someone with a can-do, proactive attitude who will take ownership of our office, ensuring that it’s functioning just as it should be and the correct processes are being implemented.
 
You’re someone who is always looking for things to fix or improve and will get it done (or find someone who can) without the need for prompting. You’ll take real ownership of how our office looks and feels and, together with the Internal Comms & Events Executive, ensure our office is the best place to work in.
 
Exceptional organisational skills are a must. You’ll need to be able to spin multiple plates and keep a level head. We’re looking for someone with past office management experience and therefore a sound knowledge of facilities, fire safety legislation and contractor management come naturally.
 
Your passion is delivering an excellent guest experience, your verbal and written skills are excellent and you possess confident and genuine people skills. You’ll have innovative ideas around how we can develop our guest experience and an understanding of the wider impact it has on the business.
 
This is a new role for us at Mind Gym so you’ll have the opportunity to make this role your own.
