What’s the role?

The Support team is responsible for ensuring that our office space, office processes and employee initiatives represent Mind Gym’s core values and ingredients. The Office Coordinator will be a key support to help maintain this vision.

This individual will have a few key areas of responsibility, the most important being to manage reception tasks effectively. This will include acting as Mind Gym’s first point of contact for all visitors to the office and being the first person they speak to on the phone.  All guests should be made to feel at home, and all calls should be answered, transferred and appropriately screened.

Our office look and feel is very important to us, and this individual will have the opportunity to support the ownership of this. This will include ensuring that the neatness of the office is always top notch, by carrying out checks and fixing anything that isn’t right.

The Office Coordinator will also be involved in key administrative responsibilities. These include assisting in the organisation of all-company and senior management meetings, and organising all necessary printing and refreshments; ownership of catering process for any meetings that require this; and supporting in all facilities and maintenance work.

Finally, this individual will have a chance to work closely with the Office and Events Manager (who is the line manager for this role) to contribute to our employee events planning and delivery. This will include the coordination and on the day running of all company events, and full responsibly for our monthly regular office events:  Massage Friday and Monthly Mind Gym drinks.

  • Previous reception or hospitality experience is desirable
  • Ability to build rapport with anyone you meet
  • A sunny disposition, whatever the weather
  • Excellent telephone manner
  • Organised and a talented multi-tasker
  • Adaptable and able to deal with ambiguity
