What’s the role?:

The Support team is responsible for ensuring that our office space, office processes and employee initiatives represent Mind Gym’s core values and ingredients. The Receptionist will be a key support to help maintain this vision.
This individual will have a few key areas of responsibility, the most important being to manage reception tasks effectively. This will include acting as Mind Gym’s first point of contact for all visitors to the office, and being the first person they speak to on the phone.  All guests should be made to feel at home, and all calls should be answered, transferred and appropriately screened.
Our office look and feel is very important to us, and this individual will have the opportunity to support the ownership of this. This will include ensuring that the neatness of the office is always top notch, by carrying out hourly checks and fixing anything that isn’t right. This will also involve enforcing our clear desk policy through the use of nudge tactics, contests and other creative strategies.
The Receptionist will also be involved in key administrative responsibilities. These include assisting in the organisation of all-company and senior management meetings, and organising all necessary printing and refreshments; ownership of catering process for any meetings that require this; and supporting in all facilities and maintenance work.
Finally, this individual will have a chance to work closely with the Office and Events Manager (who is the line manager for this role) to contribute to our employee events planning and delivery. This will include the coordination and on the day running of all company events, and full responsibly for our monthly regular office events :  Massage Friday and Monthly Mind Gym drinks.

What you will need:

We will need you to pick up on core reception tasks very quickly, so previous reception or hospitality experience is desirable.
We want our guests to feel like coming to our office was the best part of their day, so it’s important that you are able to build rapport with anyone you meet. These interactions will also be with senior employees and board members, so you will have to be comfortable building relationships at this level.
One of our key Mind Gym Ingredients you must be able to represent is Spirit – this is to have a sunny disposition, whatever the weather. We will expect you to always be welcoming and engaging with employees and guest alike. As you will be acting as the first point of contact at Mind Gym we will expect this Spirit to shine through on the phone as well, so you will need to have excellent phone manner.
The role will be varied and fast paced, so we’re looking for someone who is obsessed with staying organised and is a talented multitasker. As with any front of house role, a day can never be fully planned so you will need to be adaptable and able to deal with ambiguity.
Finally, we are looking for someone who is not looking to be bound by a job description. You will have the opportunity in this role to get involved in varied tasks that might not sit within a traditional receptionist role.
